Executive Summary: Client Needs, Goals & Proposed Plan
🏢 The Client's Current Situation & Needs
Sundance Square and downtown property management oversee 11 landmark commercial buildings in Fort Worth. Every business day, hundreds of office tenants, retail customers, and corporate guests walk through these ground-floor lobbies.
Heavy daily foot traffic, tracked-in street grit, and rain have dulled the natural stone, tile, and terrazzo surfaces. Dirt has settled into corners and grout lines, while spills and moving equipment have left scuffs and spots. The management team needs these entrance lobbies to look welcoming, clean, and well-maintained every single morning.
🎯 Client Goals & Objectives
- Strip Away the Dirt: Deep-clean floors down to the bare surface so managers can clearly see the real floor condition and any existing damage.
- Protect Against Future Stains: Seal stone and grout to prevent coffee, sodas, and grease from soaking in and ruining floors.
- Set Up a Reliable Routine: Establish a predictable cleaning schedule (quarterly or semi-annually) that keeps floors shining and stays within budget.
- Zero Tenant Disruption: Perform all work quietly and safely without interrupting daytime business.
🤝 What HWB Cleaning Services Proposes
HWB Cleaning Services LLC proposes a straightforward, 3-step floor care plan tailored specifically for the 11 downtown lobbies (11,153 total cleanable square feet):
Heavy rotary scrubbing and extraction to pull out ground-in grime and old build-up, giving managers a clean baseline to review floor condition.
Application of commercial penetrating sealer (BulletProof®) into pores and grout lines to lock out moisture and liquid stains.
Scheduled quarterly or semi-annual maintenance passes to wash and protect the floors year-round without diamond grinding.
1.0 Service Roadmap: 3-Phase Commercial Floor Care Plan
HWB Cleaning Services LLC proposes a structured commercial hard-floor cleaning, conditioning, and protection program tailored specifically for the 11 high-profile ground-floor commercial lobbies (11,153 Cleanable Square Feet) within the Sundance Square and Downtown Fort Worth corridor. All operations are executed by a dedicated crew of 2 Specialized Floor Technicians on night shifts to guarantee zero disruption to daytime tenants, retail patrons, and executive visitors.
Per client specification, the program is engineered in three distinct sequential phases:
- Phase 1 deep clean (expose damage to consider options): Comprehensive machine rotary scrub, deep cleaning solution, edge hand scraping, and extraction across all 11 lobbies to strip surface dirt down to the bare floor and expose existing wear and damage for mutual review; does not grind stone or remove scratches.
- Phase 2: Modular Protective Sealer Option: Application of LATICRETE® STONETECH® BulletProof® deep penetrating sealer into stone pores and grout lines immediately following Phase 1. Repels oil and water stains; does not stop acid etch marks on polished marble.
- Phase 3: Ongoing Recurring Maintenance Choice: Property management selects between Track A: Quarterly Maintenance (Every 3 Months) or Track B: Semi-Annual Maintenance (Every 6 Months) for regular machine wash and extraction to keep floors clean without diamond grinding.
2.0 Portfolio Location & Scope Matrix: Initial Reset & Recurring Maintenance

4.0 Additional Client Options: Sealer Protection, Staircase Detailing, Diamond Restoration & Furniture Handling
The following specialized services may be added to the baseline floor care contract as modular options:
🛡️ Option A: Penetrating Sealer Protection
Application of LATICRETE® STONETECH® BulletProof® deep penetrating sealer. Creates an invisible, breathable protective barrier deep inside marble, granite, terrazzo, quarry tile, and grout lines to repel oil, coffee, and liquid stains without making floors slippery.
Terms: Post-clean modular protective service (12-24 month lifecycle).
🪜 Option B: Dedicated Marble Staircase Care (500 Main St Only • Unit Rate)
Handheld step scrubbing, riser detailing, brass nosing polish, and STONETECH® BulletProof® sealer on the monumental Italian marble staircase at 500 Main St (Burk Burnett Building). Because the property features multiple elevation transitions across both upper and lower levels (executive mezzanine, lower level, and vault levels going up and down), this option does not include an estimated lump sum total. Instead, service is quoted on a transparent unitized rate of $3.00 per step and $21.00 per landing, with total billing determined by verified physical count upon mobilization. *Client Specification: Exclusively activated for 500 Main St; all other 10 buildings are excluded per client directive.
Terms: Optional recurring add-on (Exclusively for 500 Main St • No estimated total billed).
💎 Option C: Capital Diamond Restoration (8 Stone Lobbies)
Multi-stage diamond grinding (100–3,000 grit) to smooth out deep equipment gouges, eliminate traffic wear paths, and restore a factory mirror shine across the 8 Terrazzo & Marble lobbies (9,326 Billing SF). *Floor Substrate Note: Ceramic mosaic and quarry tile cannot be ground with diamonds and are exempt to protect the tile surface.
Terms: As-needed capital project (Ceramic Mosaic & Quarry Tile exempt).
📦 Option D: Furniture & Artwork Handling Protocol
Client property management and tenant staff clear and replace lobby furniture, planters, stanchions, and accent tables prior to and following service. Where specialized moving assistance by HWB crew is requested in advance, it is available on an hourly basis. HWB assumes zero liability for fragile decor, loose tenant wiring, or items not cleared prior to service.
Terms: Client-managed default to ensure zero property damage.

8.0 Revision History
| Version | Date | Author | Change Description |
|---|---|---|---|
| 3.7.0 | 09/03/2026 | George | Added standalone Executive Summary before Section 1.0 outlining client needs, goals, and 3-phase proposed solution using plain everyday words; formalized 100% flexible shift scheduling policy per CEO directive; retitled Section 1.0 to Service Roadmap: 3-Phase Commercial Floor Care Plan. |
| 3.6.0 | 09/03/2026 | George | Added Section 7.0: Operational Dispatch Gantt Schedule (10 Dedicated Night Shifts); integrated 5-week dynamic 35-day dispatch timeline with institutional color-coded service badges (Phase 1 Deep Clean, Modular Sealer, Track A Quarterly, Option B Staircare); updated dispatch origin to Arlington, TX; standardized company title to HWB Cleaning Services LLC; centered all SQF numbers with explicit '11,153 SQF' format. |
| 3.5.0 | 09/03/2026 | George | Engineered Option A print and PDF pagination standards per CEO directive: (1) Added @media print engine rules with page-break-inside: avoid and break-inside: avoid across all sections (.sigma-print-section); (2) Ensured Section 3.0 Commercial Investment Matrix transfers intact to the next page whenever remaining space on the preceding page is insufficient, eliminating severed tables and orphaned headers; (3) Added .sigma-print-card protection to Section 4.0 and Section 6.0 photo audits to prevent card slicing; (4) Added programmatic horizontal page breaks in Excel workbook before Row 24, Row 40, and Row 50 for 100% cross-platform print parity. |
| 3.4.0 | 09/03/2026 | George | De-jargonized proposal terminology per CEO directive to ensure clarity for commercial property managers: (1) Replaced academic 'Forensic Analysis' with practical 'Condition Observed'; (2) Replaced 'Damage Classification' with 'Floor Issue'; (3) Replaced 'Prescribed Remediation' with 'Recommended Service'; (4) Simplified Section 6.0 photo inspection narratives, stripping physics and chemistry jargon ('calcite etch crater rings', 'specular reflectivity depletion', 'crystalline matrix fracture', 'unbuffered alkaline spill', 'fluorochemical impregnator') in favor of plain commercial language; (5) Streamlined Table 3.0 and Section 1.0 scope descriptions. |
| 3.3.0 | 09/03/2026 | George | Hardened visual hierarchy and formatting consistency per CEO directive: (1) Unified all 4 damage classification alert labels to single Crimson standard (#991B1B) across photographic survey and Excel workbook, eliminating inconsistent blue styling; (2) Standardized 'Available Per Hour' typography across Table 2, resolving font sizing defect where non-grindable buildings defaulted to 11pt, enforcing consistent 9pt regular across all 11 buildings and 9pt bold in total rows; (3) Unified 'Primary floor system' substrate labels across all photo audit case studies; (4) Eliminated contradictory 'thermal diamond burnishing' language from Photo 2 remediation, aligning 100% with Phase 3 non-diamond specification. |
| 3.2.0 | 09/03/2026 | George | Applied institutional labels and technical scope hardening per CEO directive: (1) Updated substrate column headers to 'Primary floor system'; (2) Renamed Phase 1 to 'Phase 1 deep clean (expose damage to consider options)'; (3) Renamed Table 3.0 methodology column to 'Scope of work'; (4) Fully eliminated 'diamond refresh' from Phase 3 routine maintenance to eliminate the site prep cost parity trap, redefining Phase 3 as pure non-diamond rotary deep soil extraction while quarantining diamond grinding exclusively to Option C; (5) Refined Table 3.0 scope descriptions to establish crystal-clear deliverables and boundaries. |
| 3.1.0 | 09/03/2026 | George | Remediated text clipping and truncation in Table 3.0 "Billing Frequency & Program Terms" column across both Excel generator and HTML proposals: expanded column J:K widths to 38 characters, enabled word wrapping with explicit semantic line breaks, increased row height to 42pt, and applied unitized center-aligned hierarchy to ensure zero visual truncation. |
| 3.0.0 | 09/03/2026 | George | Removed speculative lump sum price total for Option B Staircase Care per CEO directive. Converted Option B exclusively to a transparent unit rate ($3.00/step and $21.00/landing) for 500 Main St (Burk Burnett Building), with total billing determined strictly by verified physical step and landing count going up and down levels upon mobilization. All other 10 buildings remain excluded. |
| 2.9.0 | 09/03/2026 | George | Adjusted Option B Staircase Care scope per client directive to isolate service exclusively to 500 Main St (Burk Burnett Building). Established transparent unit pricing of $3.00 per step (18 steps = $54.00) and $21.00 per landing (1 landing = $21.00) for a total of +$75.00/pass; formally excluded all other 10 buildings ($0.00) across Excel and proposal suite. |
| 2.8.0 | 09/03/2026 | George | Conducted forensic material science and empirical scope audit across entire portfolio quote suite per CEO directive: (1) Formally exempted Ceramic Mosaic Tile (Burk Burnett, Knights of Pythias) and Commercial Quarry Tile (Plaza Hotel) from Option C Diamond Restoration due to non-grindable ceramic/clay matrix and severe risk of tile pop/glaze erosion, correcting Option C total to $24,713.90 across the 8 eligible natural stone/terrazzo lobbies (9,326 Billing SF); (2) Substrate-engineered Phase 3 Track A maintenance scope distinguishing rotary diamond polishing (stone) from cylindrical brush deep grout flush (ceramic/quarry); (3) Explicitly aligned Photo 4 title with Building #9 (Virtuoso Building / Historic Schwarz Building). |
| 2.7.0 | 09/03/2026 | George | Re-aligned commercial rate schedule per CEO directive: Phase 1 Initial Deep Clean Reset increased to $0.80/SF ($9,307.20 complete) to account for extensive initial edge scraping, tape/paint residue removal, and detail restoration; Track B Semi-Annual Maintenance increased to $0.68/SF ($7,911.12/pass) to reflect full restorative deep-scrubbing labor parity following 180 days of pedestrian soil compaction. |
| 2.6.0 | 09/03/2026 | George | Established Pathway 1: Standard 600 Cleanable SQFT Commercial Minimum Billing Baseline across the portfolio (Virtuoso @ 560 SF, Knights of Pythias @ 414 SF, Plaza Hotel @ 345 SF billed at 600 SF floor) to guarantee ≥ 30% HWB net operational profit margin and cover mandatory downtown mobilization, equipment setup, wall splash masking, and QA supervisory inspection. |
| 2.5.0 | 09/03/2026 | George | Added Option D: Furniture & Artwork Handling Protocol across quote suite; designated client-managed default to prevent property damage, with HWB crew moving assistance available per hour upon written request. |
| 2.4.0 | 09/03/2026 | George | Reconciled all 11 lobbies to certified empirical field measurements (11,153 SF total); re-structured proposal into 3-Phase Commercial Roadmap (Phase 1 Initial Deep Clean Reset @ $0.68/SF, Phase 2 Protective Sealer @ $0.31/SF, Phase 3 Track A Quarterly @ $0.54/SF vs Track B Semi-Annual @ $0.62/SF); incorporated behind-the-scenes downtown setup, wall protection, and supervisory inspection underwriting. |
| 2.3.0 | 09/03/2026 | George | Added Section 6.0: 4-Point Photographic Floor Damage Forensic Survey & Technical Assessment (Plaza Hotel chemical bleach, Chase Bank wear abrasion, Petroleum Bldg calcite acid etch, Schwarz Bldg equipment gouges). |
| 2.2.0 | 09/02/2026 | George | Resolved BUG-052: Designed institutional Section 3.0 column headers (Row 41) on dark slate (#1E293B); expanded row heights to 36pt and enabled wrap_text to eliminate all text clipping in Excel and HTML. |
| 2.1.0 | 09/02/2026 | George | Updated baseline scope from Twice-Monthly to Monthly ($0.24/SF), Quarterly ($0.32/SF), and Every Six Months ($0.38/SF); added explicit per-SF rate columns and dual Grand Total Square Footage lines. |
