Standard Operating Procedure: Equipment Use Log Book SOP
1.0 Purpose
This SOP defines the standardized procedure for accurately recording the use, maintenance, and operational condition of all HWB Cleaning Services equipment. This ensures equipment accountability, proper maintenance scheduling, and contributes to service quality and operational safety. This logbook template is provided in [[HWB-FORM-7.1-001 Equipment Use Log]].
2.0 Scope
This procedure applies to all HWB Cleaning Services employees who operate or are responsible for maintaining any company-owned operational equipment, including but not limited to cleaning machines, vehicles, and specialized tools.
3.0 Prerequisites
- All operational equipment must have an assigned unique Equipment ID.
- A physical "Equipment Use Log Book" must be available for each piece of equipment or for a designated equipment pool.
- Employees must be trained on the proper use of the equipment and the log book procedure.
4.0 Procedure
The following steps detail the process for recording equipment use:
4.1 Prior to Equipment Use
- Locate Log Book: Before operating any equipment, locate the corresponding Equipment Use Log Book.
- Verify Serviceability: Conduct a visual inspection of the equipment. Ensure it appears in serviceable condition and that all safety guards are in place.
- Record Start: In the log book, record the following information:
- Date: Current date.
- Equipment ID: The unique identifier for the equipment.
- User Name: Your full name.
- Time Out: The time you begin using the equipment.
- Starting Condition: Briefly note the equipment's condition (e.g., "Good," "Minor cosmetic wear").
4.2 During Equipment Use (Maintenance Checks)
- Monitor Performance: Pay attention to any unusual noises, vibrations, or malfunctions during operation.
- Report Issues: If any issues are detected, stop using the equipment immediately and report it to your direct supervisor. Record the issue and time of report in the log book's "Notes/Issues" section.
4.3 After Equipment Use
- Clean Equipment: Ensure the equipment is cleaned and prepared for storage or the next user.
- Record End: In the log book, record the following information:
- Time In: The time you finish using the equipment.
- Ending Condition: Briefly note the equipment's condition (e.g., "Good," "Clean and ready").
- Notes/Issues: Document any observations, minor issues encountered, or if the equipment required cleaning/refilling (e.g., "Vacuum bag full," "Battery charged").
5.0 Verification
- Supervisors will periodically review Equipment Use Log Books (at least weekly) to ensure compliance with this SOP and to identify any recurring equipment issues or missed maintenance.
- Discrepancies or incomplete entries will be addressed immediately with the responsible employee.
6.0 Notes and Cautions
- Accuracy and completeness of log book entries are paramount for effective equipment management and safety.
- Never use damaged or malfunctioning equipment. Report issues immediately.
- Ensure the log book remains with its designated equipment or in a secure, accessible location.
